Exporting an Itinerary Summary

Tourwriter allows you to export an itinerary summary to a customizable PDF file that provides an itinerary outline or overview of the services included. Your PDF export can be configured to include/exclude certain aspects of an itinerary, making the summary report usable for lots of different things.

Export settings

Here are the few simple steps you need to follow to export the Itinerary Summary

  1. Make sure you have added a logo to the itinerary if you want a logo to be displayed in the PDF. 
  2. Click on the Export button within an itinerary and select ‘’Itinerary Summary’’ from the Export dropdown menu. 
  3. Set the expert settings to include your desired information. See below Export Settings Explained.
  4. Click on Export as Pdf. 
  5. Save the pdf file to your device.

Export settings explained:

Order Settings
Order by  Date:

Orders the itinerary items by their start date and time. 

Type:

Orders the itinerary items by the product type and then by their start date. 

Item price setting:
Item price  Custom

Use the Custom button to select which Products should display Item price

Total

Shows the total sales price, for each service. (Gross price of the Pricing column). 

None

Does not show any pricing on the sheet.

Agent

Shows the price as per the agent pricing column.

Note: this option is only available if an agent has been added to the itinerary

Exclusion and Inclusion Settings:
Exclude  Include 
Subtotal price Does not show subtotal price. Shows the subtotal price by Type or Date.

Custom : You can display Subtotal price for individual Products using the Custom button. This option is only available when you select Order by: Type

Total price Does not show the total price. Shows the total Item price for Total or Agent.
Incoming payments General Payments records will not appear in the Itinerary Summary PDF Export. General Payments records will appear in the Itinerary Summary Export under the “Payments summary” section.
Inclusions Does not show the inclusions for each service.  Shows the inclusions for each service (if they were added to the Supplier-> Product).
Booking statuses Does not show any booking statuses. Shows the booking status for each service.
Supplier names Does not show Supplier name. Shows the Supplier name.

Custom: You can display Supplier name for individual Products using the Custom button.

Supplier addresses Does not show the supplier addresses. Shows the supplier addresses, if they were added to the supplier.
Supplier phone numbers Does not show the supplier phone numbers.  Shows the supplier phone numbers , if they were added to the supplier. 
Confirmation numbers  Does not show any confirmation numbers.  Shows confirmation numbers, if they were added to the booking.
Hidden items  Does not show any hidden items.  Shows hidden items, if they were added to the booking.
Terms and Conditions Does not show Terms and Conditions. Displays Terms and Conditions.

Tips for exporting common types of reports

If you need an Agent Pricing Report you could use the following Settings:

Order: Type/Date
Pricing: Agent 
Inclusions: Include
Booking Statuses: Exclude
Supplier addresses: Exclude
Supplier Phone numbers: Exclude
Confirmation numbers:  Exclude

If you need a Supplier Contact List you could use the following Settings:

Order: Date
Item price: None
Subtotal price: None
Total price: None
Inclusions: Exclude
Booking Statuses: Exclude
Supplier addresses: Include
Supplier Phone numbers: Include 
Confirmation numbers:  Exclude

If you need a Booking Confirmation Sheet you could use the following Settings:

Order: Date
Pricing: Total
Inclusions: Include
Booking Statuses: Include
Supplier addresses: Exclude
Supplier Phone numbers: Exclude 
Confirmation numbers:  Include 

Note: Once the file has been saved to your device, you will also be able to open it in Microsoft Word to manually edit the document further.  This might not be available on older versions of Microsoft Word.
